About the role

The VA Southern Nevada Healthcare System is seeking a highly motivated and detail-oriented Inventory Management Specialist to join our Logistics Service team in Las Vegas, Nevada.

In this vital role, you will support the delivery of exceptional healthcare to our Nation's Veterans by ensuring the efficient management, accountability, and availability of essential medical supplies, equipment, and inventory.

What you will do

  • Responsible for assuring staff makes the appropriate eligibility determinations for transportation and beneficiary travel reimbursements for healthcare visits which requires an extensive knowledge of VA laws, directives, guidelines, policies, and procedures.
  • Responsible to ensure accurate, timely and consistent information is entered in the Medical Center's database.
  • Analyze, develop, plan, and advise on passenger movement policies and programs.
  • Cultivate partnerships and multi-agency coordinated transportation activities.
  • Management of program operations to identify and define requirements for the use of automated systems when dispatching and routing drivers.
  • Provide training for staff on a variety of complex transportation management and patient related software.
  • Must possess vast computer knowledge in creating and capturing data.
  • Incumbent will manage VA's travel program BTSSS for veteran travel needs, this program is complex and requires an extensive amount of analytical thinking and complex problem solving.
  • Inventory Management and Control: Manages and controls an assigned class of expendable material for a VA HCS and supported catchment area.
  • Recognized as an authority on expendable (EX) commodity management and serves as a subject matter expert to all services and service lines.
  • Inventories managed include a wide variety of expendable items and durable medical equipment (DME) which may or may not be available through the Medical/Surgical Prime Vendor (MSPV) program or other negotiated or Federal Supply Schedule (FSS) contracts.
  • Acts as a central point of contact for the coordination of commodity support and the resolution of logistics problems across organizational lines.
  • Conducts short, mid and long-term advanced planning for expendable items and DME, utilizing enterprise-wide computerized planning tools.
  • Analyzes data to include demand history, program requirements, VA HCS operations, procurement lead-time, current stock levels and other factors which impact procurement decisions.
  • Manages inventory, independently sets initial stock and par levels and reorder points and resolves issues for a complete medical or service category (i.e., surgical, dental, imaging, engineering, prosthetics, laboratory or other major commodity).
  • Authorizes significant changes in expenditure and stock levels based on usage requirements and budgeting considerations.
  • Researches opportunities for and conducts analysis of potential cost savings, efficiencies, and process improvements using quantitative analysis and historical usage patterns.
  • Utilizes best practices, principles and tools, concepts and methodologies to determine and evaluate supply system performance.
  • Analyzes, coordinates and controls management of stock items to support preparation of long-range forecasts necessary to support new requirements.
  • Returns, Recalls and Reutilization Implements federal and agency programs for the return and reutilization of medical supplies.
  • Uses well established and commonly applied supply methods to maintain activity formulary inventory.
  • Coordinates with the property managers for disposal of surplus or excess supplies in accordance with specific agency directives and procedures.
  • Serves as the primary responder to the VA National Center for Patient Safety Recall Office for their area of responsibility.
  • Makes emergent procurement decisions in coordination with stakeholders based on back order issues created by national recalls.
  • Participates in Root Cause Analysis process to assist in determining how the supply chain is impacted upon a near miss or Veteran care mishap.
  • Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met.

It is a requirement that all HCP to receive annual seasonal influenza vaccination or obtain an exemption for medical or religious reasons. Wearing a face mask is required when an exemption to the influenza vaccination has been granted. HCP in violation of this directive may face disciplinary action up to and including removal from federal service.

HCP are individuals who, during the influenza season, work in VHA locations or who come into contact with VA patients or other HCP as part of their duties. VHA locations include, but are not limited to, VA hospitals and associated clinics, community living centers (CLCs), community-based outpatient clinics (CBOCs), domiciliary units, Vet centers and VA-leased medical facilities.

HCP include all VA licensed and unlicensed, clinical and administrative, remote and onsite, paid and without compensation, full- and part-time employees, intermittent employees, fee basis employees, VA contractors, researchers, volunteers and health professions trainees (HPTs) who are expected to perform any or all of their work at these facilities.

HPTs may be paid or unpaid and include residents, interns, fellows and students. HCP also includes VHA personnel providing home-based care to Veterans and drivers and other personnel whose duties put them in contact with patients outside VA medical facilities.

Additional information

Physical Requirements: Involves a mix of working in an office environment to working in a warehouse to assist in processing new equipment receipts and entering into the EIL. A great amount of time walking and climbing stairs is required to conduct on-site inventories of EIL equipment.

Lifting of up to 40 pounds is required when receiving new equipment at the facility and preparing for the sale of excess property. Work conditions are often indoors, but could occasionally be dirty, hot, humid or unusually cold when involved in property inventories, disposal of equipment, transferring of equipment between serviced locations and recycling centers.

Work is performed generally in an office setting with access to a personal computer and computerized and manual equipment records. Frequent trips to areas throughout the VA HCS and catchment areas, including Veterans' rooms to conduct equipment inventories and assist with problems are required.

Work is also routinely performed in warehouse areas where pertinent safety and security procedures must be followed. May be directed to travel to all VA HCS and catchment area locations to perform equipment management duties, transferring of equipment and disposal/recycling of equipment.
