About the role

As an Administrative Support Assistant, you will provide executive-level administrative and logistical support to Directorate-level offices. You will coordinate a variety of administrative activities, manage office operations and scheduling, and provide support to leadership to ensure the efficient and effective operation of the organization.

What you will do

  • Provide executive level administrative and logistical support to Directorate level offices.
  • Utilize Adobe Acrobat and Microsoft Office 365 applications (e.g., Word, Excel, PowerPoint, OneDrive, SharePoint, and Teams) to create, edit, manage, share, and collaborate on documents, spreadsheets, presentations, and other business resources.
  • Manage executive calendars, coordinate and schedule meetings and briefings, secure alternate representatives with another official when appropriate, and secure meeting location.
  • Attend and provide administrative support for meetings, as appropriate.
  • Review and draft correspondence, recommendations, reports, and memoranda related to management and administrative concerns in compliance with policies and procedures.
  • Handle day-to-day administrative responsibilities for the Directorate management and staff, such as directing phone calls, receiving and greeting visitors, sorting and distributing incoming mail, and maintaining files and records.
  • Oversee subordinate administrative support staff, communicating updates and providing guidance, ensuring consistency in center processes and administrative services.
  • Create and/or maintain the organizational distribution lists for the Directorate.

Under NASA's quality grouping process, applicants will be assessed on the position competencies and placed in one of two groups identified and defined below: Best Qualified Group - Applicants who demonstrate a superior level of all evaluation criteria. Qualified Group - Applicants who demonstrate the basic qualifications, with general knowledge, skills, and abilities.

Candidates eligible for ICTAP/CTAP, reemployment priority or priority consideration will be referred before other candidates, as necessary. If no such candidates apply or are eligible to be referred, the following candidates will be sent to the hiring official for employment consideration: Best Qualified merit promotion candidates.
